Policies

To ensure a pleasant stay for all guests, we kindly ask that you review and follow the policies outlined below. These policies cover reservations, cancellations, check-in and checkout, smoking, occupancy limits, and guest responsibilities. By booking your stay, you agree to these terms, which help us provide a safe, comfortable, and enjoyable environment for everyone.

Guest Policies & Guidelines

General Rules

(1).

Guests are expected to exercise reasonable care and respect for the peace, quiet, and enjoyment of other guests staying at the estate.

(2).

Disturbing the peace of other guests or engaging in illegal conduct may result in immediate eviction without refund.

Deposit

(1).

A deposit guarantees your reservation and confirms your stay.

(2).

The deposit is equal to half of the total reservation cost or at least one night’s stay, plus applicable taxes and fees.

(3).

One-night reservations require full payment at the time of booking.

(4).

Only valid gift certificates will be honored. Reservations made using invalid certificates will be charged at the standard rate.

(5).

If selected, additional services and packages will be added to the deposit amount.

Cancellations, Reschedules, and Reservation Adjustments

(1). All cancellations, reschedules, or reservation adjustments are subject to a $50 processing fee. 

(2). Reservations made with less than 10 days’ notice cannot be cancelled. 

(3). To receive a full refund (less the $50 processing fee), cancellation notice must be provided prior to the applicable cancellation period:

  • Bed & Breakfast reservations require 10 days’ notice prior to arrival.
  • Full house rentals at the Woodland Retreat, Farm House, Historic Strasburg Home, and Cottage require 30 days’ notice prior to arrival.
  • Holiday weekends and group reservations of 3 or more rooms require 30 days’ notice.

(4). Deposits will be refunded minus the $50 cancellation fee, provided the required cancellation notice is given. 

(5). If proper notice is not provided, refunds (minus the $50 fee) may only be issued if the reserved accommodations can be rebooked. 

(6). Reservations may be rescheduled within 10 days prior to arrival (before the cancellation deadline), but are still subject to the $50 rescheduling fee. 

Disclaimer: This policy applies only to lodging accommodations. Booked events at French Country Manor Estate Event Venue Locations follow the policies outlined in the Event Venue Policies section and Event Venue Rental Agreement.

Payment & Accepted Methods

(1).

We accept credit cards, debit cards, Square, PayPal, ACH Bank Transfers, and cash.

(2).

All reservations require a valid credit or debit card on file, regardless of the chosen payment method.

(3).

Credit or debit cards will be charged for the required deposit at the time the reservation is processed. The deposit amount will be reflected in your confirmation email.

(4).

Guests are responsible for payment of all reserved nights, regardless of actual arrival or departure dates.

(5).

Additional services and packages require full payment at the time of booking.

Rates & Occupancy

(1). Standard nightly rates may not apply during holidays, including but not limited to:

  • New Year’s, Valentine’s Day, Easter, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas, or other special events or peak dates.

Check-in & Check-out Procedure

(1). Check-in:

  • French Country Manor Estate Bed & Breakfast: 4:00 PM – 7:00 PM unless a late check-in arrangement has been made and granted by French Country Manor Estate.
  • All other lodging locations: Guests may check in from 4:00 PM onwards at their convenience.

(2). Check-out: By 11:00 AM

(3). Keyless entry: All lodging locations offer keyless entry; access codes will be provided on or before the day of check-in. 

(4). Early check-in / Late check-out: Please contact us in advance to make arrangements. Flexibility is generally available for up to 2 hours before or after the booked reservation, provided there is no conflict with another incoming guest or cleaning schedule. 

(5). Please provide your approximate arrival time within a 30-minute window. 

Check-out Requests

(1). Place used towels in the bathtub. 

(2). Leave bed linens on the beds. 

(3). Return all chairs to their original placements. 

(4). Return keys (if applicable) to French Country Manor Management Team Member. 

Smoking policy

(1). Smoking is strictly prohibited inside all French Country Manor Estate buildings.

(2). Smoking is permitted outdoors only, in areas where smoke will not re-enter the building.

(3). Smoking inside the buildings will result in a minimum $275 cleaning surcharge to address odor removal and any necessary repairs.

Damage Policy

(1). Guests agree to accept financial responsibility for any damage caused to the property or its contents, including: 

  • Excessive cleaning requirements
  • Plumbing damage
  • Tub or toilet overflow
  • Floor damage
  • Furniture damage
  • Appliance or electronic equipment damage
  • Towel or linen damage

(2). Repair or replacement costs will be charged to the guest responsible for the damage. 

Comfort & Temperature

(1).

The thermostat is set appropriately for the season to ensure guest comfort.

(2).

Guests may adjust the temperature using the up or down buttons on the thermostat.

(3).

Please adjust the temperature accordingly when leaving the building.

Bathroom Guidelines

(1).

Towels and washcloths are provided on bathroom racks. Contact us for additional needs.

(2).

Hair dryers and curling irons are located under the sink or in the bathroom closet.

(3).

Do not flush sanitary products in the toilet.

(4).

Additional toilet paper can be found in the bathroom or linen closet.

(5).

Use makeup removers before washcloths or towels to prevent staining.

(6).

Use the exhaust fan when bathing or showering.

Whirlpool Tub Guidelines

(1).

Never operate the whirlpool tub without water in it.

(2).

Water must cover the jets before operating, but avoid overfilling to prevent overflow.

(3).

Ensure jets are angled downward (rotate the disk to adjust).

(4).

Press the air switch button located on the rim or side of the tub to operate.

(5).

Use the bathroom exhaust fan while using the tub.

Children & Family Policy

(1).

French Country Manor Estate welcomes families and guests of all ages.

(2).

Parents or guardians are responsible for supervising children at all times on the estate property.

(3).

Due to the historic nature of some buildings, landscaped grounds, ponds, streams, walking trails, and outdoor recreational areas, children should not be left unattended.

(4).

Children must respect quiet hours and shared spaces throughout the estate.

Quiet Hours Policy

(1).

Quiet hours are observed between 10:00 PM and 7:00 AM.

(2).

Guests should keep voices, music, televisions, and outdoor activities at a respectful volume during this time.

(3).

Guests hosting private events must follow timelines outlined in their Event Venue Rental Agreement and package guidelines.

Property & Grounds Safety

(1). Guests should remain on designated paths and walkways.

(2). Use recreational equipment responsibly.

(3). Exercise caution around ponds and streams.

(4). Be mindful of uneven terrain due to the historic and natural landscape.

(5). No open flames or real candles are permitted inside or near the French Country Manor Estate buildings. 

(6). Guests use the estate grounds and amenities at their own discretion and responsibility. 

Event Guest & Visitor Policy

(1).

Only registered lodging guests and approved event attendees are permitted on the estate property.

(2).

Guests staying overnight may not host additional visitors or gatherings beyond the number listed on their reservation without prior approval.

(3).

All events must be reserved through an approved event package and designated venue location, following the Event Venue Rental Agreement and estate policies.

Alcohol & Responsible Consumption Policy

(1).

Guests may enjoy alcoholic beverages responsibly while staying at or hosting events at French Country Manor Estate.

(2).

Alcohol consumption must comply with all local and state laws.

(3).

Event hosts may be required to use approved bartending services or licensed vendors depending on the size and nature of the event.

(4).

Alcohol may not be served to minors.

(5).

The estate reserves the right to discontinue alcohol service or address situations involving excessive consumption or disorderly behavior.

Parking & Transportation

(1).

Parking is available on the estate for registered lodging guests and approved event attendees.

(2).

Guests must park only in designated parking areas.

(3).

Driveways, walkways, and access areas must remain clear at all times.

(4).

For larger gatherings, French Country Manor Estate may coordinate parking arrangements or shuttle transportation services.

Right of Refusal & Policy Enforcement

(1).

The estate reserves the right to refuse service, deny access, or remove any individual or group from the property if their conduct violates estate policies, disrupts other guests, damages property, or poses a safety concern.

(2).

Guests asked to leave due to policy violations may be required to vacate immediately and may forfeit payments associated with their reservation or event booking.

(3).

The estate reserves the right to update or modify policies as necessary.

Lodging & Event Guest Age Policy

(1).

The Farm House, Woodland Retreat, Historic Strasburg Home, and Cottage are suitable for guests of all ages, including families with children.

(2).

The Historic Bed & Breakfast is not suitable for children under 12, except for infants accompanying their parents.

(3).

All Event Venue locations are suitable for guests of all ages.

Pets Policy

(1). Service animals are accepted throughout the estate.  

(2). Non-service animals may be considered for lodging or event attendance with prior approval. 

(3). French Country Manor Estate reserves the right, at its sole discretion, to determine whether accommodations can be made for pets. 

(4). If approved, a pet fee applies, and designated areas will be provided for the pet. Pets are not permitted inside lodging houses or event indoor spaces. 

Furniture Use Policy

(1).

Guests are not permitted to rearrange indoor furniture or move indoor furniture outside of the buildings.

(2).

Furniture may not be moved or rearranged other than chairs. Chairs are to be returned to their original placements as found upon check-in prior to checkout.

(3).

All indoor furniture must remain in its designated location.

(4).

Outdoor furniture is provided for guest use and designated for outdoor activities.

French Country Manor Estate Event Venue Policies

Event Booking Requirements

(1). Guests must reserve a French Country Manor Estate Venue Package along with a designated venue space. 

(2). Events may only occur after: 

  • Full or required deposit payment has been received.
  • The Event Venue Rental Agreement has been reviewed and signed by all required parties.

(3). No event may be hosted, scheduled, or confirmed prior to completing these requirements. 

Historic Manor Estate Indoor & Outdoor Event Venue

(1).

Guests must adhere to all venue policies, operational guidelines, packages, and pricing structures for these venues.

Casual Countryside Retreat Gatherings & Events

(1).

Guests must follow specific policies, guidelines, packages, and pricing for these types of events.

Lodging & Event Combination Discounts

(1).

Discounts may apply for guests combining event bookings with lodging accommodations.

(2).

Discount offers are only applicable when booked directly through French Country Manor Estate.

Additional Discounts

(1).

Additional bundled pricing may be available for multiple services, events, or lodging.

Event Venue Cancellation Policy

Client Cancellation

(1). 35% contract retainer is non-refundable, except in the event of force majeure. 

(2). Remaining payments refundable up to 90 days prior to event if the current booked date can be rebooked by another guest. If the date cannot be rebooked, all payments are non-refundable. 

(3). Processing fees charged to French Country Manor Estate are deducted from any refund. 

(4). All cancellations must be submitted in writing and acknowledged by the Events Manager. 

Event Rescheduling

(1).

Payments may be applied to a future date, subject to approval and availability.

(2).

Rescheduled events must occur within a mutually agreed timeframe and may be subject to updated pricing, packages, or policies.

Venue Cancellation

(1).

French Country Manor Estate reserves the right to cancel an event due to force majeure, unsafe conditions, or circumstances beyond reasonable control. In such cases, all payments will be refunded, and the venue has no further liability.
